Our Terms & Conditions

Are you insured?

Yes. As a responsible business we are insured by a photographic and video specialist insurance company who provide public liability, equipment and professional indemnity cover for us. Details of our policy are available on request by contacting us further.

What happens if you are unable to attend our wedding?

In the unlikely event that we are unable to attend your wedding we will make every effort with your approval to find a replacement photographer or videographer for you. And in the unlikely event that we need to cancel your booking we will refund any monies paid. We are able to provide good peace of mind because we are team of videographers and photographers so there is more than likely another team member available to attend your wedding day.

Do we need to see you before the wedding day?

This is entirely up to you. Some couples are happy to talk through their requirements and details of their day over the phone and email but we are more than happy to have a meeting with you and talk through everything in person with you at any stage of your booking. We highly recommend a meeting in person beforehand so that we can get to know each other and talk about what it is exactly that you want from your wedding film and find out everything that you have planned for your big day.

What happens if we want to cancel our booking with you?

We have a statutory 14 day cooling-off period for cancellation and refund. After this if you could send us written notification that you would like to cancel your booking with us we will then confirm your cancellation. Depending on when you cancel you may be liable for a cancellation charge as set out in the terms and conditions of booking which are calculated depending on how close to your wedding date you cancel. If it is within the following timescales the charge is calculate as a percentage of your package total: 90 days before wedding day = 31%, 91-365 days before wedding day = 28%, 366+ days before wedding day = 24%

How do we book?

You can make your booking HERE and you will be taken to our interactive booking form where you can create you package very much like you do on our Pricing page.

You can then submit the Booking Form and then we will send you an invoice for your Booking Fee which you can pay by Credit/Debit Card or BACS payment. Then you are booked in!

How can we guarantee our wedding date with you?

Guaranteeing your wedding date is important to do as soon as possible as we often get booked up 18 months in advance for some dates. As soon as we have received your Booking Form and Booking Fee then your date will be booked with us.

FAQS - Payment

When is the final balance due?

We know that there’s lots to budget and think about for your big day so we offer a long window before the final payment is due. We will send out a reminder for the final balance, which is due no later than 14 days before the wedding day.

Who do we make cheques payable to?

Cheques should be made payable to ‘White Villa Films Limited’.

What methods of payment do you accept?

We accept BACS, Cheque, Cash, PayPal, Debit Card, Credit Card, Apple Pay, and Chrome Pay.

Can I settle our balance early or in installments?

Yes. You are welcome to make payments towards your booking whenever you choose and we can send you an invoice at any point to pay all or just part of the balance.

FAQS - Technical

What equipment do you use?

We use DSLR cameras to film with, specifically the Canon 5D Mark 3 and Lumix GH4, and these cameras record on memory cards which are backed up following your wedding to separate hard drives on and off-site.

We use professional lenses of the Canon L Series range for sharp image quality and also to allow us to shoot in low light situations. Sometimes we will use small LED lights in the evening when low level lighting requires it however we generally avoid this where possible.

Our sound gear is very important too and we use a range of audio recording devices to ensure the highest quality audio for your film. These include Sennheiser radio microphones, Sennheiser and Rode directional microphones and Zoom audio recorders.

Our tripods are provided by Manfrotto and we also use Glidetrack and Glidecam systems for those dynamic and creative moving shots.

Can I print my photographs?

Yes. We include both high resolution JPEG images (300dpi) which are fit for printing up to very large sizes and also low resolution JPEG images (72dpi) which are optimized for social media and sharing online. This way you can use your photographs in the two most popular ways with flexibility. You are granted permission to use and duplicate your photographs as much as you like and for any purpose that isn't commercial or for financial gain.

Can I share my films?

Yes. We include digital files of your films as mp4 movie files on a USB so that you can easily back them up to your computer and share with friends and family. We also provide you with an online version for sharing on Facebook and other social media. The only exception to the above is where commercially copyrighted music is chosen; in which case the film can only be used for private viewing and cannot be shared online or distributed.

What music do you use?

We license music through a special music libary service. This music is instrumental and emotive and we spend hours matching music tracks to your film to give you a personalised film score. It's also licensed for use anywhere so you can watch your films anywhere without worrying you are breaking any copyright laws. Our 'Classic Video' package allows you to chose copyrighted and commercially available music for your film however as a result it cannot be shared online or outside of a private viewing.

FAQS - Travel

Do you travel?

Yes. We are based in Bristol but we travel all over the country and even the world to film and photograph weddings and events. Depending on the distance there may be an additional travel cost so just let us know where and we will work it out for you. Our inclusive travel radius is 35 miles.

FAQS - Your Booking

Can we order extra DVDs, BluRays or USBs?

Yes. The option to order extra copies of your film is available at any time up to a year after the wedding, sometimes longer. Just get in touch and let us know how many you would like and we can sort that out for you at the appropriate cost.

Can we make changes to our film?

Yes. We will edit your film in such a way that it is presented to you in the best way possible however if you want to make changes simply get in touch with us and let us know.

Once your film content is finished editing there is still the opportunity to make changes if you feel we have made an error or something doesn't quite work. We want you to have the best film possible so if you think that they can be improved then please let us know. Small changes we are able to do for no extra cost while some changes, particularly those that take a lot of time may carry an editing charge which we will make you aware of before undertaking any changes.

Can we make changes to our photographs?

Yes. We will edit your photographs in such a way that they are presented to you in the best way possible. However if you want to make changes simply get in touch with us and let us know.
We want you to have the best photographs possible so if you think that they can be improved then please let us know. Small changes we are able to do for no extra cost while some changes, particularly those that take a lot of time may carry an editing charge which we will make you aware of before undertaking any changes.

Can we change the content of your packages?

Every couple want something different from their wedding film so our packages are starting points and if you want to change the elements of the main package then just let us know what you want to change and we will be more than happy to create a bespoke package for you. We also offer a variety of optional extras all of which can enhance your package further.


How are you managing postponements?

Where COVID-19 is causing the wedding to be cancelled or restrictions are such that the booking cannot be fully performed as originally agreed then we are offering couples the chance to postpone their wedding date to an alternative date and we will move the deposit and package with it at no extra cost, fee or charge. Alternatively we will offer a refund.

For those couples looking to postpone their date even though it is currently unaffected then we offer the chance to postpone to a new date and if the new date is within a different price list there may be a change in price applied.
